CONVENTION CENTER ADMINSTRATIVE SUPV

General Functions
   This is a responsible supervisory or administrator position for the Orange County Convention Center (OCCC) involving supervising section staff or coordinating an administrative function for the Center. Work is performed with considerable independence under the general supervision of the Division Manager or Assistant Manager as assigned.
 
Representative Duties /Assignments
   (May vary based on assignment)

Facility Operations Contract Supervisor:
  • Supervises the contract and procurement functions of the Facility Operations Division.
  • Initiates, develops and monitors outside services provider contracts.
  • Facilitates the development of the contract and procurement SOP.
  • Supervises the OCCC warehouse function including shipping and receiving.
  • Oversees purchasing of materials and supplies and the processing of purchase and delivery orders.
  • Acts as the OCCC liaison with Property Accounting during annual physical asset inventory.
  • Meets the Center of Hospitality Standards.
Contract Management Administrator:
  • Serves as Contract Administrator for service partner contracts such as food service vendor, business center, audio/visual, etc.
  • Works with customers on revenue, expense service and key supply/equipment contracts.
  • Advises and reviews staff development of Scopes of Work/Specifications for services, key supplies/equipment contracts.
  • Negotiates terms and conditions on complex service long-term contracts having a direct impact on the Center's revenue.
  • Advises and trains staff on providing proper contract administration to include quality assurance.
  • Serves as Center's liaison with Purchasing on contract issues.
  • Recommends best method of contracting for a given service.
  • Manages the Purchasing Card program for the Center.
  • Meets the Center of Hospitality Standards.
Lease Management Administrator:
  • Supervises and directs Lease Management professional and administrative staff in leasing two million square feet of exhibition space and 500,000 square feet of meeting room space at the Orange County Convention Center.
  • Works closely with management and sales staff to establish equitable agreements with clients.
  • Coordinates rate analysis and recommended changes for rental and services.
  • Coordinates the Center’s operating policy updates.
  • Performs intricate, complex negotiations with clients to develop creative and positive solutions for all parties that will have a direct and dramatic impact on the Convention Center's revenue.
  • Negotiates with clients' legal counsel to finalize lease terms and conditions.
  • Analyzes and recommends rate changes for rental and services, while remaining competitive.
  • Assists in yield management.
  • Serves as the liaison between Orange County's and clients' legal counsels.
  • Interprets the Center and client rights and responsibilities and provides guidance to clients, management, sales and service delivery staff.
  • Analyzes and recommends changes to client related operating policies.
  • Coordinates the review process for handling client requests that require management intervention.
  • Prioritizes the workload and services (trains, coaches, etc.) staff responsible for issuing lease agreements for events held at the Center.
  • Meets the Center of Hospitality (CoH) standards.
 
Minimum Qualifications
   Facility Operations Contract Supervisor and Contract Management Administrator:

Graduation from an accredited college or university with a Bachelors degree in Business, Accounting or closely related field and five years of experience in contract administration, negotiation and/or purchasing or equivalent combination of experience and education.

Lease Management Administrator:

Graduation from an accredited college or university with a Bachelors degree in Business, Marketing or closely related field and five years of experience in lease/contract administration, convention/hotel sales, legal, convention/hospitality industry experience or other closely related experience; or an equivalent combination of experience and education.
 
Preferences
   Prefer convention/hospitality industry experience.
