EXHIBITOR SERVICES REPRESENTATIVE

FLSA Status: Non-Exempt 

General Functions
   Responsible for accurately processing all service orders assigned for Convention Center events and coordinating exhibitor telemarketing efforts. Extensive public contact and must possess good communication skills, be customer oriented, have a strong attention to detail, and be able to perform multiple tasks.

Work is performed under the general supervision of the Sales Manager. Performance is reviewed through observations, conferences, reports and results achieved.
 
Representative Duties /Assignments
  
  • Updates and maintains event information utilizing the Convention Center event business management software to generate status and summary reports.
  • Reviews completed Exhibitor Kit and notify client and/or Show Management / Exhibitor Management if any omissions or discrepancies are found.
  • Reviews each shows event website for accurate information and coordinates the placement of Orange County Convention Center links on clients web site.
  • Reviews each shows contract to assure all contracted services have been arranged.
  • Communicates with Exhibitors via e-mail, fax and telephone.
  • Summarizes and prepares deposits for the Finance Section.
  • Develops relationships and acts as a liaison with internal and external support partners assigned to each event.
  • Ensures clients follow all procedures and guidelines.
  • Inputs and processes all service orders.
  • Obtains and maintains electronic exhibitor lists for use in telemarketing efforts.
  • Provides any assistance required of exhibitors, clients or other customers.
  • Attends pre-planning meetings, as assigned.
  • Provides show site support and works at service desk during events, move-in and move-out.
  • Meets the Center of Hospitality (CoH) standards.
  • Must be able to work irregular hours including evenings, weekends and holidays.
  • Performs other related duties and projects as assigned.
 
Minimum Qualifications
   High school graduate or equivalent and four years of responsible administrative, fiscal, sales or customer service experience. Completed coursework towards a degree from an accredited institution may substitute for experience on a year-for-year basis.
 
Preferences
   Bachelor degree from an accredited institution in Hospitality, Communications, Business, Management or closely related field.
