LEGAL RECORDS CLERK

General Functions
   Performs advanced clerical work involving archives and records management of the County Attorney`s Office.

Employee in this class performs varied clerical duties of complex nature. Primary responsibilities include maintenance and disposition of legal records along with extensive indexing and cross-referencing to insure fast, efficient retrieval of records. Employees must remain informed on changes in basic laws and related regulations pertaining to the work. General supervision is received from an administrator or other supervisor who assists with unusual and difficult problems.
 
Representative Duties /Assignments
  
  • Initiates request for supplies, equipment and services, prepares personnel actions and maintains leave records for office employees, prepares invoices for distribution to the Finance and Accounting Department.
  • Receives, screens and routes incoming mail, receives and answers inquiries of office visitors, composes correspondence from brief oral instructions and compiles data for department budget, making arithmetical calculations and typing appropriate supporting documents.
  • Participates in sorting, indexing, cross-indexing and retrieving records.
  • Coordinates and completes administrative projects of a confidential nature.
  • Performs legal research utilizing the Internet.
  • Assists the legal secretaries in performing complex administrative tasks.
  • May be required to bend, stoop and lift boxes of books and files weighing ten pounds or more on a monthly basis while maintaining the Law Library.
  • Assists the County Attorney’s Office receptionist as needed.
 
Minimum Qualifications
   Graduation from high school or equivalent and three years of general clerical experience; or an equivalent combination of training and experience.

Ability to express ideas clearly and to communicate effectively both orally and in writing.

Proficient in the operation of a personal computer.

May be required to demonstrate the ability to type at a rate of 30 correct words per minute.

Possess and maintain a valid Florida Drivers License. Must provide own vehicle for use in making daily deliveries.
