AGENDA DEVELOPMENT SUPERVISOR

General Functions
   Plans, coordinates, and supervises all aspects of the Agenda Development Office to ensure efficient operations. Works closely with County Administration and senior staff to plan and organize the agenda for the Board of County Commissioners to guarantee that agenda package is concise, comprehensive, and complete. Oversees the coordination of advisory board appointments and works closely with commission staff. Serves as the point of contact with the Florida Commission on Ethics regarding financial disclosure.

Work requires independent judgment and initiative, as well as tact and discretion. General supervision is received from a Deputy County Administrator, who reviews work through observation, reports, correspondence, and achievement of desired results.
 
Representative Duties /Assignments
  
  • Administers the preparation, composition, editing, and distribution of the Orange County Board of County Commissioners meeting agenda.
  • Monitors County Commission meetings and prepares detailed summaries and follow up reports for use by County Administration.
  • Generates quarterly calendar for meetings of the Board of County Commissioners;
  • Composes, prepares, and schedules ceremonial proclamations and resolutions for the Orange County Mayor and Board of County Commissioners.
  • Composes the Mayor's script for Board of County Commissioner meetings.
  • Hires, schedules, trains, develops, and evaluates Agenda Development Office employees.
  • Supervises work assignments and professional development of staff.
  • Interfaces with and provides information to the Florida Commission on Ethics.
  • Represents the Agenda Development Office at departmental meetings.
  • Establishes and maintains effective working relationships with county staff.
  • Serves as the Business Application Administrator for the Advisory Boards Database Application and as a web coordinator.
  • Makes PowerPoint presentations to the Board of County Commissioners as needed.
  • Oversees and assists with administrative support for the Membership and Mission Review Board.
  • Works with Board of County Commissioner staff and outside agencies to secure appointments to exempt boards, lake boards, and community redevelopment agency boards.
  • Maintains comprehensive, current knowledge and awareness of applicable laws/regulations, attends workshops and/or training as appropriate.
  • Responds to requests for information from the Board of County Commissioners, senior staff, and citizens.
  • Participates on committees as needed.
  • Researches issues and advises as requested.
  • Prepares and monitors office budget and payroll.
  • Oversees all purchasing for the Agenda Development Office.
  • Performs related work as assigned or required.
  • Tracks the appointment and term expirations of the Mayor and County Commissioners serving on the boards of outside agencies.
 
Minimum Qualifications
   Bachelor's Degree in Public Administration, Communications, Business Administration or closely related field from an accredited college or university and five (5) years of Public Sector administrative experience; or an equivalent combination of education, training and experience.

Experience should include coordinating schedules and special projects: excellent abilities in grammar, spelling, and composition. This position requires the ability to set priorities and meet deadlines; possession of exceptional organizational skills and a high degree of professionalism is also required. The ability to communicate effectively orally and in writing, as well as the ability to perform under pressure is mandatory.

Must have advanced experience in MS Word, Excel, PowerPoint, Outlook.
