AGENDA DEVELOPMENT COORDINATOR

General Functions
   This position performs highly professional and responsible administrative work and requires the ability to set priorities and meet deadlines. Duties include composing, editing, and issuing the agenda for the Board of County Commissioners meetings; generating the long range agenda; preparing and distributing the quarterly meeting submittal schedule; serving as staff support for the Membership and Mission Review Board; and maintaining the advisory boards database application.

Work is performed with considerable independence under the supervision of the Agenda Development Supervisor and requires the possession of exceptional organizational skills, tact and discretion. Work is reviewed for accuracy, efficiency and compliance with established procedures.
 
Representative Duties /Assignments
  
  • Composes, edits, and distributes the Orange County Board of County Commissioners meeting agenda.
  • Generates and distributes the weekly long range agenda.
  • Generates and distributes the quarterly submittal schedule for meetings of the Board of County Commissioners.
  • Interfaces with staff and resolves inconsistencies in submitted agenda items.
  • Responds to requests for information from the Board of County Commissioners, senior staff, and citizens.
  • Serves as main point of contact for the Agenda Development Office with the public.
  • Maintains the database for the Advisory Boards Application.
  • Serves as staff support for the Membership and Mission Review Board (MMRB), including composing the meeting agenda, generating minutes, tracking vacancies, preparing reports, and developing strong working relationships with MMRB members other advisory board support staff and volunteers.
  • Distributes quarterly Financial Disclosure forms and tracks submission of the forms.
  • Tracks, edits, and distributes quarterly advisory board attendance reports.
  • Collates monthly submission of board minutes and submits them on the BCC agenda.
  • Posts and files meeting notices in compliance with the Sunshine Law and Administrative Regulations.
  • Coordinates and generates the invocation certificates for the Board of County Commissioners meetings.
  • Creates and manages scanned images.
  • Serves as a web coordinator.
  • Establishes and maintains effective working relationships with county staff.
  • Substitutes for the Agenda Development Supervisor as needed.
  • Performs related work as assigned.
 
Minimum Qualifications
   Associate's Degree from an accredited institution in Public Administration, Communications, Business Administration or closely related field and three years of public sector administrative experience or an equivalent combination of education and experience.

Ability to communicate effectively orally and in writing.

Must have intermediate experience in Microsoft Word, Excel, Outlook, and database management.
 
Preferences
   Bachelor's degree in Public Administration, Communications, Business Administration or closely related field

Experience in taking minutes, proofreading, and familiar with researching and applying State Statutes and County Code Experience working with volunteers
