MAIL CLERK

FLSA Status: Non-Exempt 

General Functions
   Performs varied work in centralized mail service for departments and activities under the Board of County Commissioners.

Work is performed with considerable independence under the Mail Room Supervisor or other designated supervisor and is reviewed through observation, conferences, results obtained and periodic reports.
 
Representative Duties /Assignments
   Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.
  • Receives and sorts mail. Operates equipment such as a mail scale, postage meter, automatic letter opener and assures that the meter is properly maintained and has sufficient postage. Maintains supplies and materials.
  • Calculates and affixes correct postage to letters and packages. Provides customer service to County staff regarding postal services and special mailings. Assists departments in processing high volume mailings. Responds to concerns and questions from both internal and external customers.
  • Assures that mail is properly routed by updating the names of officials, directors, managers, employees, departments and divisions. Determines correct addressees for returned or misdirected mail.
  • Makes regular deliveries to the post office and County buildings on an assigned route and schedule.
  • Maintains various logs, records and files.
  • If assigned to Corrections, processes and distributes inmate mail: opens and examines mail for drugs, codes, escape plans, money, unacceptable pictures and other contraband. Processes money orders for pick-up by Corrections Money Room section.
  • Receives, processes and logs all legal mail for inmates. Transports court dispositions signed by Judges. Must go into secure areas of the Correctional facilities several times daily. Utilizes several computer systems to locate Corrections employees and inmates.
  • Performs other related duties as assigned.
 
Minimum Qualifications
   High school diploma or equivalent and one year of administrative experience

Must possess and maintain a valid State of Florida Drivers License or ability to obtain a Florida Drivers License within six months of hire date.
 
Preferences
   Mailing Experience
    Proficiency in Microsoft Office (Word, Excel, Outlook)
