MAIL ROOM SUPERVISOR

General Functions
   Supervises centralized mail service for departments and activities under the Board of County Commissioners. This position is responsible for planning, assigning and reviewing the work of staff engaged in picking up, delivering, weighing, stamping and sorting interoffice and official mail.

Work is performed with independence and initiative under general direction. Performance is reviewed through conferences, observations, periodic reports and results attained.
 
Representative Duties /Assignments
   Duties may vary based on area of assignment.
  • Supervises and participates in the efficient receipt, sorting and delivery of a variety of interoffice mail, postal mail and supplies.
  • Plans, assigns and reviews work of staff who perform a variety of duties in connection with the receipt and disbursement of interoffice and official mail.
  • Answers inquiries regarding the operation and organization of the mailroom.
  • Schedules and supervises special mailing occurrences.
  • Arranges for mailroom equipment servicing and repair.
  • Maintains certified and registered mail journals.
  • Maintains record on mail machine meter use and transfers money as required.
  • Ensures mail machine meter is periodically tested for accuracy.
  • Trains departments on the use and procedures for certified, registered, insured and overnight mail and advise on the latest Federal Post Office procedures.
  • If assigned to Corrections, oversees processing and distribution of inmate mail which is examined for drugs, codes, escape plans, money, unacceptable pictures and other contraband. Oversees processing of money orders for pick-up by Corrections Money Room section.
  • Performs supervisory functions including hiring, training, coaching, developing, disciplining and evaluating employees.
  • Performs other related work as required.
 
Minimum Qualifications
   High School diploma or equivalent and three years of mail room experience.

Must possess and maintain a valid State of Florida Driver’s License or ability to obtain a State of Florida Driver’s License within six months of date of hire.
 
Preferences
   Mail room supervisor or team lead experience.

Mail room experience in a large agency with multiple locations.

Based on area of assignment, mail room experience in Corrections, Law Enforcement, or Security.
