Crotty and the Board of County Commissioners FROM: MJ^inn yRichardson, Manager Purchasing and Contracts Division 107-836-5633 CONTACT:    Deodat Budhu, Manager Roads and Drainage Division 407-836-7919 SUBJECT: Award of Invitation for Bids Y5-142-JS,  Tree Trimming and Related Services Opened: November 23, 2004, 2:OOPM Bid Packages issued to non-M/WBE Vendors:  0 Bid Packages issued to M/WBE Vendors: 0 RECOMMENDATION: Responses: 5 Responses: 0 Approval  to  award  Invitation  for  Bids  Y5-142-JS,  Tree  Trimming  and  Related Services, to the  low responsive and responsible bidders, Charlie's Tree Service,Inc., and  Seay  Tree  Service, Inc., for  an  estimated  contract  amounts  of  $2,580,000  for Charlie's Tree Service, Inc. (Lot 1) and $1,333,420 for  Seay Tree  Service, Inc. (Lot 2).   The  initial  term of  the  contract  is  one  year renewable  by  the  Purchasing  and Contracts Division for two additional 1-year periods.  Funds are available in account number  1002072 2906 3197.  The  Roads  and Drainage Division concurs with this recommendation. Due  to projected usage, the Roads  and Drainage  Division anticipates that the entire estimated contract amount will be ordered during the initial contract term. PURPOSE: Tree  trimming   and  related   services   are  used  by   several   County  organizations including Roads  and Drainage, Facilities Management, Utilities Department and Fire Rescue.   Dead  or  diseased  trees  are  removed  to  alleviate  dangerous  situations  on County owned properties.  Tree canopies over roads are elevated to remove obstacles t o  vehicle  traffic. DISCUSSION: Five  bids  were  received  in  response  to  Invitation  for  Bids  Y5-142-JS  and  were evaluated for responsiveness, responsibility and price. 41
