General Functions |
|
The Assistant Business Services Supervisor position is responsible for supporting the daily operations of the assigned section of the Orange County Convention Center (OCCC). The role is responsible for assisting the Supervisor in day-to-day tasks/duties and monitoring progress to ensure proper and timely completion.
Work is performed with significant independence under the general direction of the section supervisor. Performance is reviewed through observations, conferences, reports and achievement of desired results, while maintaining the Center of Hospitality philosophy. |

Representative Duties /Assignments |
|
Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.
- Assists supervisor with job duties/tasks assigned to section staff and monitors progress to ensure proper and timely completion.
- Attends and participates in meetings with managers, supervisors, staff, vendors and clients, along with or in absence of section supervisor.
- Assists supervisor with the development, implementation, and monitoring of section's operating procedures, including adherence to Orange County Administrative Regulations.
- Assists supervisor with staff evaluation, professional development, and requests for leave. Trains, coaches and schedules staff as required.
- Provides training to new and existing staff regarding section services and procedures.
- Attends meetings with clients & pre-convention meetings, transportation meetings, etc.
- Meets the Center of Hospitality (CoH) Standards.
- Performs other related duties as assigned.
Parking Operations
- Assists in coordinating and executing the parking/toll booth operations plans.
- Responsible for parking operations, ensuring tight internal controls with financial transactions and meeting clients’ needs.
- Ensures that monies collected are balanced, deposited accurately and timely, and entered in Event Business Management Software (EBMS).
Fiscal & Operation Support
- Assists supervisor with development and preparation phases of solicitations, to specifically include scope description, standards for qualifications of bidders, competitive research, creating special terms and conditions, and preparing a bid item schedule or proposal format.
- Assists supervisor with contract renewal, expiration and performance issues and processes.
- Assists with evaluation of solicitation and quotation results and recommendations of purchases for Convention Center divisions.
- Monitors status of requisitions, purchase and delivery orders, and associated documents.
- Prepares reports in Advantage financial system, including master agreement usage history, open purchase order reports and vendor inquiry reports.

Minimum Qualifications |
|
Parking Operations
Bachelor's Degree from an accredited institution in Business Administration, Accounting/Finance, Hospitality Management or a closely related field and three (3) years of experience parking or monetary transaction operations, or convention center, hospitality/public service experience; or an Associate's Degree from an accredited institution and five (5) years of the above experience; or an equivalent combination of relevant education, training or experience.
Ability to use Microsoft Outlook, Word and Excel.
Ability to learn and operate automated toll booth system and computerized timekeeping system.
Fiscal & Operation Support
Bachelor's Degree from an accredited institution in Business Administration, Accounting/Finance, Public Administration, Contract Administration or a closely related field and three (3) years of experience in contract administration, procurement, or related experience; or an Associate's Degree from an accredited institution and five (5) years of the above experience; or an equivalent combination of relevant education, training or experience. |
