ASSISTANT AGENDA DEVELOPMENT SUPERVISOR

General Functions
   Assists in planning, coordinating, and supervising the Agenda Development Office to ensure efficient operations. Works closely with County Administration and senior staff to plan and organize the agenda for the Board of County Commissioners to ensure that agenda package is concise, comprehensive, and complete. Assists with the coordination of advisory board appointments and works closely with commission staff.

Work requires independent judgment and initiative under the general direction of the Agenda Development Supervisor. Work is reviewed through observation, reports, correspondence and achievement of desired results.
 
Representative Duties /Assignments
  
  • Assists with the administration and actual preparation, composition, editing, and distribution of the Orange County Board of County Commissioners (BCC) meeting agenda.
  • Collates monthly submission of board minutes and submits them on the BCC agenda.
  • Assists with monitoring County Commission meetings, preparing detailed summaries and follow up reports for use by County Administration.
  • Generates and distributes the weekly long range agenda.
  • Generates and distributes the quarterly submittal schedule for BCC meetings.
  • Interfaces with staff and resolves inconsistencies in submitted agenda items.
  • Posts and files meeting notices in compliance with the Sunshine Law and Administrative Regulations.
  • Composes, prepares, and schedules ceremonial proclamations and resolutions for the Orange County Mayor and BCC.
  • Coordinates and generates the invocation certificates for the BCC meetings.
  • Assists with composing the Mayor's script for BCC meetings.
  • In the Agenda Development Supervisor's absence, serves as the point of contact with the Florida Commission on Ethics regarding financial disclosure.
  • Represents the Agenda Development Office at departmental meetings, as needed.
  • Establishes and maintains effective working relationships with county staff.
  • Makes presentations to the BCC, as needed.
  • Works with BCC staff and outside agencies to secure appointments to exempt boards, lake boards, and community redevelopment agency boards.
  • Tracks the appointment and term expirations of the Mayor and County Commissioners serving on the boards of outside agencies.
  • Maintains comprehensive, current knowledge and awareness of applicable laws/regulations, attends workshops and/or training as appropriate.
  • Responds to requests for information from the BCC, senior staff, and citizens. Researches issues and advises as requested.
  • Participates on committees, as needed.
  • Has input and provides recommendations on hires, staff development, discipline and evaluations.
  • Supervises work assignments and professional development of staff.
  • Assists with preparing and monitoring the office budget and payroll.
  • Assist with purchasing for the Agenda Development Office.
  • Performs other related duties as assigned.
 
Minimum Qualifications
   Bachelor's Degree from an accredited institution in Public Administration, Communications, Business Administration or closely related field and four years of public sector administrative experience; or an equivalent combination of education, training and experience.

Ability to communicate effectively orally and in writing.

Advanced experience in Microsoft Office.

   Bachelor's degree from an accredited institution in Public Administration, Communications, Business Administration or closely related field.

Experience taking minutes, proofreading and familiar with researching and applying State Statutes and County Code.
