ADMINISTRATIVE SUPPORT SUPERVISOR

General Functions
  

This position is a highly specialized professional responsible for supervision and directing major elements and assisting the Manager or Assistant Manager in administering the work program of the Division.

Work is performed with independence, sound professional judgment and initiative under the general direction of the Manager, Assistant Manager or designee and is evaluated through conferences, observations, reports and achievement of desired results.

 
Representative Duties /Assignments
  
  • Ensures administrative programs provide necessary support to division staff, boards, and citizens. Evaluates the effectiveness of the section in responding to citizen inquiring or issues and is responsible for maintaining or improving customer satisfaction with the sections services.
  • Leads or supervises quality control inspections or audits on records including case management, vendor work orders, invoices and payments, liens, and settlements.
  • Serves as team leader for major division projects and implementations.
  • Oversees payroll administration.
  • Functional Administrator for Kronos and Document Management (DM) Administrator, provide end user trainings and conduct needs assessments to identify document management requirements of department and end users.
  • Supervises assigned staff
  • Assists with customer service and/or employee recruitment and care components, which may include hiring, training, professional development, performance management, publication of internal newsletter, brochures, and new employee orientation.
  • Assists in the evaluation, research, or monitoring of the administrative and operational policies, practices and procedures. Makes recommendations to Division or Department management regarding resource needs, or operational/policy changes. Work with staff and management to ensure technology needs of assigned staff are met.
  • Leads intergovernmental and county division coordination processes for disaster preparedness and other administrative initiatives.
  • Leads or participates in special projects, tasks, and correspondence as required by the Manager, Department Director or County Administration.
  • Maintain inventory for Divisions tangible equipment. Update Annual inventory report.
  • Performs other duties as assigned.
 
Minimum Qualifications
  

Neighborhood Services

Bachelors degree from an accredited institution in Business Administration, Public Administration, Computer Science, or closely related field and four years of field inspections, code, zoning or building enforcement or processing experience; or closely related experience in a similar regulatory environment or an equivalent combination of related education and experience.

Public Works

Bachelors degree from an accredited institution in Business Administration, Public Administration, Computer Science, or closely related field and four years program or project management experience in a field operations environment or an equivalent combination of related education and experience.

 
Preferences
  

Financial, procurement and/or contract management experience.

Administrative support supervisory experience.

Proficient in computer spreadsheet, database and/or word processing software
