ASSISTANT TO THE MAYOR

General Functions
   Maintains and schedules the meeting and appointment calendar for the Orange County Mayor.

This is responsible administrative work in the office of the County Mayor. An employee in a position assigned to this classification is responsible for gathering information on invitations and appointments requested with the Mayor and maintaining the Mayor’s calendar. Considerable initiative and independence are exercised in carrying out the directives of the Mayor. Flexibility, tact and diplomacy and demonstrated in dealing with staff, the public and outside organizations. In performing assigned duties, considerable interaction and coordination are required with other governmental entities.
 
Representative Duties /Assignments
  
  • Maintains all aspects of the Mayor’s schedule.
  • Meets with the Mayor and Chief of Staff on a daily basis to determine which meetings and events are to be placed on the Mayor’s schedule.
  • Conduct follow-up telephone calls or prepares correspondence required to accept, decline or confirm appointments.
  • Reviews scheduled appointments on a daily basis and present a detailed schedule to the Mayor each afternoon for the next day’s calendar.
  • Develops a five-week schedule in advance and presents to the Mayor on a weekly basis, making revisions as necessary.
  • As requested by the Mayor, coordinates meetings and appointments with attendees as well as interested or affected organizations.
  • Prepares meeting agendas and provides the Mayor with necessary supporting material or documents.
  • Assists other members of the Mayor’s staff with projects as needed or as directed by the Chief of Staff.
 
Minimum Qualifications
   Graduation from an accredited college or university with a degree in Business, Public Administration or a related field, or professional experience in public administration or as a legislative or administrative assistant. Experience in word processing or the use of a personal computer is preferred.
